We’re a woman‑owned, Texas‑based studio built on trust, respect, and follow‑through. These policies exist to set clear expectations, protect everyone involved, and keep projects running smoothly. Clear alignment leads to better work — for you, for our collaborators, and for our team.
Project Payments & Scheduling
To kick off any project, we require a 50% deposit. An additional 25% is due at the project midpoint, with the remaining 25% due upon final delivery. If payments are delayed, work may be paused until the account is current. For projects with fixed or time‑sensitive deadlines, delays that require overtime or schedule shifts may result in rush fees.
Timeline Extensions & Rescheduling
Project timelines depend on timely feedback and approvals. When feedback is delayed beyond agreed deadlines, scheduled production time may be released and reassigned to other clients.
If a project is resumed after a missed feedback window and requires us to rebook team members or adjust active schedules, rescheduling fees may apply. These fees account for the cost of reserving production time and disrupting existing workflows.
Extended delays may also result in revised delivery dates based on team availability.
Our goal is always to keep projects moving smoothly and fairly for everyone involved.
Delivery Standards
We stand behind the quality of our work. If technical delivery issues are identified within 30 days of final delivery, we’ll correct them at no additional cost.
This includes:
- Black or missing frames
- Frame pops or glitches
- Watermarked or incorrect stock assets
- Graphics or formatting errors
- File corruption or export issues
This does not include creative changes, new edits, or copy revisions after final approval.
What’s Included
Final deliverables are defined in your agreement. RAW footage, working project files, or editable source files are not included unless explicitly stated. These may be licensed or purchased separately upon request.
Scope, Changes & Pricing
Your pricing and scope are based on the agreed‑upon project outline and timeline.
Changes may impact cost and delivery schedules, including:
- Additional revision rounds
- New deliverables
- Increased video length
- Requests after key approvals
- Delayed feedback or asset delivery
- Expanded usage beyond the original agreement
- Restarts or large amounts of changes late into the process
We’ll always communicate changes clearly before moving forward.
Revisions & Feedback
To keep projects moving efficiently, all revision requests must be submitted in writing with clear direction and references when possible.
Clear feedback helps everyone. Vague requests may slow progress or require clarification, which can affect timelines. If deadlines are fixed and revisions are delayed, rush fees may apply.
Production Expenses
Project fees do not include out‑of‑pocket production expenses unless noted. This may include travel, locations, talent, props, or specialty rentals.
Expenses are estimated upfront, capped when possible, and billed at cost plus standard industry markup.
Ongoing & Future Projects
Discounted pricing based on future work must be outlined in a signed agreement and typically requires a minimum 40% deposit with defined start dates or monthly retainer fees for the expected work amount.
Agreements & Paperwork
We do not sign client standard agreements as‑is. Reasonable revisions can be discussed, and vendor onboarding forms may be required for internal systems.
Scope Creep Requests
If revisions or requests exceed the time allocated in your agreement, we’ll ask you to prioritize changes.
Additional work may require a change order or revised estimate.
Rush Projects
Expedited timelines are handled on a case‑by‑case basis and are prioritized for returning clients in good standing. Rush work may include additional fees to cover overtime or added resources.
Client‑Provided Assets
We are not responsible for the quality or licensing of assets provided by clients, including logos, images, footage, scripts, or brand materials. We’ll use what’s supplied to the best of our ability.
Paused or Inactive Projects
Projects inactive for 10 or more business days due to missing assets, feedback, or communication may be considered closed. Completed work will be invoiced, and remaining balances will be due Net 15. Unused funds may be refunded or applied to future work by agreement.
Content Guidelines
We do not accept projects that involve knowingly false information, harmful content, hate speech, or explicit or abusive material.
On‑Set Expectations
For in‑person production, all participants are expected to follow reasonable safety and health guidelines.
Remote participation options are available when appropriate.
Stock & Licensed Content
Third‑party assets such as stock footage, music, and imagery are governed by their respective licenses.
Usage beyond the agreed scope must align with those terms.
Project Storage & Archiving
We maintain active project files for a limited time after delivery to ensure a smooth wrap-up and handoff.
Unless explicitly stated in your agreement, projects are not archived beyond two (2) months after final completion.
If you’d like us to retain project files beyond that window, we offer extended storage options starting at:
$45 per month, or
$400 per year
Extended storage covers secure file retention and basic accessibility but does not include additional revisions, re-exports, or project updates unless separately agreed upon.
File Integrity & Liability
While we take reasonable steps to store and manage project files responsibly, long-term digital storage carries inherent risks. We cannot guarantee protection against file corruption, data loss, or access issues caused by factors outside of our control, including but not limited to hardware failure, software changes, third-party service disruptions, or force majeure events.
We strongly recommend that clients download and securely store all final deliverables upon receipt. Once a project passes the standard storage window, Control Shift Video is not responsible for recovering or restoring files that have not been placed under an extended storage agreement.
